This Email Policy sets out how ECOMX manages email communications with clients, suppliers, prospects, and other parties. It is intended to support lawful, secure, and professional communication practices in line with South African legal and regulatory obligations, including POPIA where personal information is processed in email communications.
We use email for quotations, project updates, support requests, client communication, scheduling, invoicing, operational coordination, and lawful marketing or business communications where permitted.
Emails sent by ECOMX may contain confidential, commercially sensitive, or privileged information. If you receive an email in error, you should notify the sender, delete the message, and not copy, forward, use, or disclose its contents.
Although we apply reasonable security measures, email remains an inherently insecure communication channel. We cannot guarantee that any email is free from interception, delay, corruption, or malicious code. Recipients should use appropriate antivirus, spam-filtering, and security controls.
Where personal information is sent to or from ECOMX by email, we expect that such processing will be relevant, limited to a legitimate purpose, and handled with appropriate care. Senders should avoid transmitting unnecessary sensitive personal information over email unless reasonably required and appropriately secured.
We will not knowingly send unlawful spam. Where consent is required for direct electronic marketing, we will seek or rely on a lawful basis before sending such communication. Recipients may request removal from non-essential marketing or promotional email lists.
General operational emails may contain high-level views, technical observations, or preliminary comments. Unless expressly confirmed in a signed agreement, approved quotation, purchase order, or formal written instruction, an email should not automatically be treated as a final contractual commitment.
We may retain email correspondence for operational continuity, dispute resolution, compliance, audit trails, record-keeping, support history, and service delivery purposes, subject to our document retention practices and legal obligations.
You may not use our email channels to send unlawful content, abusive material, malware, phishing content, defamatory statements, or material that infringes the rights of ECOMX or third parties. We reserve the right to block, filter, or escalate harmful communications where necessary.
